GoHighLevel for dental practices: from inquiry to booked appointment

By , Founder & CEO · · 8 min read

GoHighLevel (GHL) gives a dental practice one place to capture new-patient inquiries, reply by text and email, book appointments and track each lead through a pipeline. It suits a practice that loses leads to missed calls and slow follow-up. Settle two things before you build: how GHL will connect to your practice management software, and which privacy and messaging rules apply to your patient data.

What GoHighLevel does for a dental front desk

GoHighLevel, sold by the vendor as HighLevel, is a sales and marketing platform that agencies can resell under their own brand. For a practice, the parts that matter are these:

  • CRM and pipelines. Each inquiry becomes a contact, and you move it through stages on a board.
  • Forms and funnels. Landing pages and inquiry forms that create the contact and start the follow-up.
  • Calendars. Online booking pages that your team controls by appointment type and provider.
  • Conversations. SMS, email and calls with one person, shown in one thread.
  • Workflows. Automation rules that send a message, create a task or move a lead after a trigger.
  • Missed-call text back. An automatic text to a caller your team could not answer.
  • Review requests. A message that asks a patient for a review after a visit.

GHL also offers Conversation AI, a bot that can answer messages and offer booking times. Treat it as optional until the pipeline and the basic workflows run well.

Features and plan limits change, so check HighLevel's pricing page before you plan around a specific feature.

Map the pipeline before you automate anything

Draw the pipeline on paper first. Six stages make a workable starting point for a general practice.

Stage What it means Who moves it forward
New lead A form, call, chat or ad produced a name and a phone number A workflow, on arrival
Contacted Your team and the person have exchanged a call or message Front desk
Booked A first appointment sits on the calendar Front desk or the booking page
Showed The patient attended Front desk, or your practice management software through an integration
Treatment accepted The patient agreed to a treatment plan Treatment coordinator
Recall The patient is due for the next hygiene visit or checkup A workflow, on a date

Add two exits: "no-show" and "not a fit". Without them, dead leads have nowhere to go except "contacted", and the board stops showing who still needs a call.

Write one sentence per stage that says what must be true for a lead to sit there.

The first GoHighLevel workflows for dentists

Test each workflow with a staff phone before a patient sees it. I would start with these five, in this order.

  1. Missed-call text back. A caller who reaches voicemail gets a short text within a minute or two. It gives the practice name and a booking link, with no promotion.
  2. New inquiry response. A form submission creates the contact, places it in "new lead", sends a confirmation to the person and creates a task for the front desk. Let the workflow raise a reminder if nobody follows up.
  3. Appointment confirmation and reminders. A booked appointment triggers a confirmation, then reminders before the visit. Include a way to reschedule, and say nothing about the procedure.
  4. No-show follow-up. A missed appointment moves the lead to "no-show" and sends one polite message with a rebooking link. A task prompts the front desk to call if the patient stays silent.
  5. Review request. A completed visit triggers a request for a review a short time later. Send it to all patients who have opted in, not a hand-picked group, and offer nothing in exchange.

Recall reminders come next. GHL can send a recall message on a date, but that date lives in your practice management software, so the workflow depends on the connection described in the next section.

If you switch on Conversation AI later, limit it to booking and practice information such as opening hours, and hand any question about symptoms or treatment to a person.

The integration reality with practice management software

Your clinical schedule, patient records and billing live in a practice management system such as Dentrix, Eaglesoft or Open Dental in North America, or Dentally or EXACT from Software of Excellence in the UK. GHL does not replace that system. Many of these products have limited or no direct integration with GHL, so confirm with both vendors before you plan around one.

Three options remain.

Option How it works Trade-off
Manual step The front desk books in the practice management system, then updates the stage in GHL No build cost, but it depends on a busy desk
Connector A tool such as Zapier passes appointments and statuses between the two systems, if your software has a supported connection Faster to set up, with a running fee and limits on which fields it can read. The connector also handles patient data, so it needs the same compliance review
Custom integration A developer connects the two through their APIs, where the vendor allows access The closest fit, with the highest build cost, and the vendor's API terms decide what is possible

Ask your practice management vendor whether the product offers an API or an approved integration partner, and what access costs. The answer decides which row you are in.

The calendar is the main risk. If patients book on a GHL calendar while your team books in the practice management system, you can double-book a chair. Until a sync exists, I recommend the GHL booking page takes appointment requests, or offers a few new-patient slots that your team blocks in both systems.

Compliance questions to ask before patient data goes in

This section is general orientation, not legal advice. Take these questions to your own counsel or compliance lead before any patient data goes into GHL.

United States: HIPAA. A practice that is a HIPAA covered entity needs a signed business associate agreement (BAA) with any vendor that handles protected health information on its behalf. A patient's name tied to an appointment at your practice can count as protected health information, so the question applies even if no clinical notes reach GHL. HighLevel documents a paid HIPAA option that includes a BAA, set up on the agency account and switched on per sub-account. Confirm in writing with HighLevel, or with the agency that runs your account, that it is active and that a BAA covers your practice. Ask the same of any agency or connector that can see the data. Keep clinical details out of texts and emails.

United States: SMS consent and registration. US carriers require a business that texts from standard 10-digit local numbers to register its brand and campaign under A2P 10DLC, the carriers' registration system for business texting. Toll-free numbers go through a separate verification process. Carriers can filter or block traffic from numbers that skip these steps. Separate from registration, the Telephone Consumer Protection Act and FCC rules set consent rules for texts, with stricter requirements for marketing messages. Collect consent on your forms in clear words, record it and honor opt-outs at once.

Canada: CASL and privacy law. Canada's anti-spam law requires consent for commercial electronic messages, identification of the sender and a working unsubscribe mechanism. PIPEDA and provincial health privacy laws govern how you handle patient information. The applicable law varies by province.

United Kingdom: UK GDPR and PECR. Health data is special category data under UK GDPR, which calls for a lawful basis, an additional condition for processing and a written contract with any vendor that processes the data for you. Ask where the vendor stores the data, because transfers outside the UK need safeguards. PECR sets the rules for marketing by text and email, and in most cases that means consent.

One working rule fits all four: limit GHL to contact details, appointment logistics and consent records, and leave clinical notes in the practice management system. The agreements above still apply.

When GHL is the wrong tool

GHL fits poorly in four cases.

  • Your practice management software already sends reminders, recall messages and review requests, and your problem is unanswered calls. Fix call handling first.
  • You get few new-patient inquiries. Automation speeds up follow-up on the leads you have, so fix lead generation first.
  • Nobody on your team will own the pipeline. The board is only useful while someone keeps it current.
  • You cannot get a BAA or an equivalent agreement that satisfies your compliance advisor. In that case keep patient data out of GHL, or choose a tool built for healthcare.

What devinsta does here

We at devinsta offer GHL setup and configuration for dental practices. Our GoHighLevel development service covers the pipeline, forms, calendars and workflows described above. For the connection to your practice management software, we scope it as CRM development and integration, or as Zapier automation if a connector covers the fields you need.

You see working progress every week, and you own the accounts and anything we build. We do not give legal advice, so your compliance advisor signs off on consent wording and vendor agreements. Our dental practices page sets out the wider offer, including marketing funnel automation.

Common questions

Does GoHighLevel integrate with dental practice management software?

Many practice management systems have limited or no direct integration with GoHighLevel. Plan for a connector such as Zapier, a custom API integration where your vendor allows access, or a manual step at the front desk. Ask your vendor about API access before you commit.

Is GoHighLevel HIPAA compliant?

HIPAA compliance depends on your plan, your configuration and a signed business associate agreement. Check whether your GHL plan or your agency's account offers a HIPAA option and a BAA before you store protected health information, and have your compliance advisor review the setup.

Which GHL workflow should a dental practice build first?

Start with missed-call text back and a new inquiry response, because both act on leads you already receive. Add appointment reminders, no-show follow-up and review requests once those two run without errors.

Can a dental practice text patients from GoHighLevel in the US?

Yes, with consent and registration in place. Register your brand and campaign under A2P 10DLC, collect and record consent for texts, honor opt-outs, and keep clinical details out of messages.
